Introduction

In this privacy statement, we explain what data we process about you if we have, want to establish, or have had a business relationship with you. We also tell you why and for how long we process your data and what your rights are with regard to each type of processing. In addition, we provide information about the parties we work with and our security policy, among other things.

We believe it is important that our services are reliable and transparent. We therefore treat your personal data with discretion and care and ensure that any processing of your data complies with the applicable laws and regulations.

Privacy Manager

We have appointed a Privacy Manager. This is not a ‘data protection officer’ as referred to in Article 37 of the General Data Protection Regulation (GDPR). However, this is someone who ensures that your data is processed in accordance with the law. The Privacy Manager’s duties include supervision and handling questions and complaints. The personal data we process

Depending on your relationship with our organisation and the purpose for which we process data, we record (some of) the following data:

  1. First and last name
  2. Gender
  3. Date of birth
  4. Address details
  5. Phone number
  6. E-mailadress
  7. Function details
  8. Login details (username and password) if you have an account on our website
  9. Information about training programmes and courses
  10. Data on historical event participation
  11. Bank account number and other financial details
  12. Information about your activities on our website
  13. Other information we receive from you, for example via the contact form on our website
  14. Video recordings or photographs for marketing purposes
  15. Video recordings of visits to our company or premises

For what purpose and on what basis do we process personal data?

We process your personal data for the following purposes:

  4. organizing (customer) events
  5. performing acquisition activities
  6. sending newsletters or mailings
  7. keeping records of applicants (job vacancies and candidates)
  8. keeping a visitor log
  9. the use of camera surveillance
  10. monitoring website visits

The grounds for processing are those referred to in Article 6 of the GDPR (consent, agreement, or legitimate interest).

Automated decision-making

We do not make decisions based on automated processing on matters that can have (significant) consequences for people. These are decisions taken by computer programs or systems, without involving a person (for example, one of our employees).

How long we retain personal data

In general, we do not retain your data longer than necessary for the purposes for which we collected it. The retention period may vary from case to case. For example, we are required to retain certain documents for a minimum period for tax or administrative purposes. In such cases, we will only retain the data necessary to comply with our legal obligations. After the statutory retention periods, we will delete or anonymize your data.

Sharing personal data with third parties

We do not share your personal data with third parties, unless this is done in the context of executing an agreement with you, to comply with any legal obligation, and/or to represent a legitimate interest. Insofar as these third parties are considered processors, we have entered into a processing agreement with them that regulates, among other things, security, confidentiality, and your rights. We remain responsible for these processing operations.

We engage third parties in the manner and on the grounds described above for the following categories of processing:

We do not transfer personal data to countries outside the European Economic Area (EEA) without necessity.

Your rights (access, modification, deletion, etc.)

Below, we explain your rights with regard to the processing of your data.

  1. Right of access

You have the right to access your own data. This includes the right to know the purposes of the processing, to which parties the data is provided, and the retention periods.

  1. Right to rectification

You can request us to rectify your data immediately. You also have the right to complete incomplete data, for example by sending us an email.

  1. ‘Right to be forgotten’

You have the “right to be forgotten.” Upon request, we will delete your data without unreasonable delay. However, we may not always be able to delete all of your data. For example, processing may still be necessary to comply with legal obligations or to establish, exercise, or defend legal claims.

  1. Right to restriction of processing

In principle, you have the right to have the processing of your data restricted, for example if you believe that your data is incorrect or unnecessary.

  1. Notice of rectification, deletion, or restriction

Unless it is impossible or requires disproportionate effort, we will notify the recipients of your data of any rectification, erasure, or restriction of processing.

  1. Right to data portability

You have the right to data portability. This means that you can request to receive your data. You can then store this data for personal reuse. You only have this right with regard to data that you have provided to us yourself and if the processing is based on consent or an agreement to which you are a party.

  1. Withdraw consent

If data processing is based on consent, you have the right to withdraw that consent at any time. However, the processing of your data from the period prior to withdrawal remains lawful.

  1. Right to object

In principle, you have the right to object to the processing of your data. After your objection, we will in principle stop processing your data.

  1. Complaint to the Data Protection Authority or to the court.

If you believe that the processing of your data violates the law, you can contact our Privacy Manager, but you also have the right to file a complaint with the Dutch Data Protection Authority (AP) (via the following link: https://autoriteitpersoonsgegevens.nl/nl/contact-met-de-autoriteit-persoonsgegevens/tip-ons) or to take legal action.

  1. Limitations on your rights

Sometimes we may restrict your rights, for example in the context of preventing, investigating, detecting, and prosecuting criminal offenses, such as fraud.

To ensure that the request for access has been made by you, we will send you a number of control questions after receiving your request, which you must answer before we can process the request. This is to protect your privacy. We will respond to your request as soon as possible, but no later than within four weeks.

How we protect personal data

We take the protection of your data seriously and take appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized modification. If you feel that your data is not properly secured or there are indications of misuse, please contact our Privacy Manager.
